Privacy policy / register of processing operations


The handling of sensitive personal data forms an essential and responsible part of human 
resources / executive search work. The consulting partners of Formations Group Executive 
Search & Consulting GmbH (known as ‘the Formations Group’ for short) collect, store and 
process personal data and handle such information in a responsible manner. Handling is carried 
out in the knowledge of and in consideration of the EU GDPR, as well as Swiss legislation, the 
provisions set out in the German Federal Data Protection Act and, in particular, our own ethical 
standard of handling private information in a respectful manner. The data will only be processed 
and stored by the consulting partners of the Formations Group, which is based in Switzerland and
Germany, with the express consent of the candidates concerned. We would hereby like to 
provide the following information on how this data is handled and on our website’s terms of use.


Saving data for staffing purposes


In order that it might purposefully fill vacant positions, our client is recruiting the Formations 
Group’s suitable applicants (m/f) (hereinafter referred to as ‘the applicant(s)’) by means of direct 
contact, by means of external service providers’ databases, by means of general, publicly 
accessible sources (such as websites, social media and search engines), by means of our online 
presence and by means of speculative applications. Before any personal data is processed and 
saved, all applicants must confirm and thereby agree with the privacy information in the 
customary opt-in procedure during the course of registration. Initial contact follows the exchange 
of information, whereby an applicant submits a variety of further application documents. Personal 
data for staffing purposes primarily includes personal contact details, photos, CVs, certificates, 
references, sample work and any notes created during the course of the selection process. This 
information is required to extensively assess an applicant’s suitability and, if necessary, to 
present the same to a new employer.


Disclosure of data


Only the named partners of the Formations Group who have been tasked with the corresponding 
customer project have access to the data you have submitted. Disclosure is exclusively carried 
out in the context of a vacancy to be filled at the searching company. Your data will not be 
disclosed to our clients without your express consent. The partner responsible for the project will 
obtain this consent from you as part of the selection process, provided that you have both 
decided on presentation to a client. Your data is not disclosed to other potential third parties.
We also expressly oblige our client to protect personal data on account of our GTCs. Transfer to 
clients in third countries under European data protection legislation (e.g. Switzerland) is also only 
carried out following the applicant’s express consent.
The Formations Group naturally does not use or disclose data for advertising purposes as a 
matter of principle.


Online applications (recommended)


As an applicant, you can use our online application tool to quickly and securely transfer your 
data. The information you provide to us in this way will be treated in the same way as outlined in 
the previous paragraph.
You can activate the online application tool by clicking on the APPLY NOW link in the job 
advertisements listed under our clients’ vacancies.
We use a professional encryption process for online transfer of your applicant data, so that your 
details are protected from unauthorised access. Please take into account the fact that 
applications sent to us by email are submitted to us in unencrypted form. We therefore 
recommend using the online application tool.


Storage period for your data


We will store your contact details and application data for the duration of the application process. 
Your applicant data will be deleted by our client no later than six months after the end of the 
assignment, unless overriding legal regulations prevent this or you request that it be deleted 
earlier. By means of separate consent, you have the option of giving your consent for your 
application data to remain in our talent pool for the purpose of any vacancies to be filled in future 
so you can be included in such future staffing procedures.
Disclosure is exclusively carried out in the context of a vacancy to be filled at the searching 
company.


Privacy policy for the use of Google Analytics


This website uses Google Analytics, a web analytics service provided by Google Inc. (‘Google’). 
Google Analytics uses ‘cookies’, which are text files that are saved on your computer and enable 
analysis of your use of this website. The information generated by the cookie about your use of 
this website is generally transferred to and stored on a Google server in the USA. If IP 
anonymisation is activated on this website, Google will, however, truncate your IP address 
beforehand within member states of the European Union or other states that are parties to the 
Agreement on the European Economic Area.
Only in exceptional cases is the full IP address transferred to a Google server in the USA and 
truncated there. On behalf of the operator of this website, Google will use this information for the
